Unique Asset Sharing Options

Getting the right assets to the right people quickly and efficiently is a key benefit of digital asset management. MajorTom offers several unique options for this critical feature.

  • PIN Code – A simple, effective, and controlled way of sharing assets to individuals outside of your company.

    PIN code functionality grants temporary access to a specific asset or a set of assets. No user ID or password is required, which cuts down on the number of users you need to manage. You can also determine when a PIN code expires which allows you to tightly control access.

    For example, an editor covering your new product may need access to two approved images for his article. Do you really want him accessing your digital asset management system to get these images? You could send him a CD, post the files to an FTP site, or attach them to an e-mail, but these can be time consuming, technically challenging or even costly, in certain situations. Assigning him a 2-day PIN code lets him get in, get the assets, and get out with no effort by you or your team.

  • Read Only – A typical organization may have a relatively small number of people entitled to upload images to its digital library, but may have hundreds or even thousands of users that need to download those assets. That’s why MajorTom allows for Read Only users, with limited rights within the system. These users can only search, view, and download assets; they can’t edit existing assets or add new ones to the repository. This functionality simplifies user administration and saves money, since Read Only users are less expensive in the MajorTom pricing plan than regular users.

  • Usage Tracking – You may have plenty of reasons for wanting to know why someone is downloading a particular asset. With MajorTom’s optional Usage Tracking module, you can require each user to specify how they intend to use the asset at the time they download the file.

  • User Permissions – MajorTom’s flexible and powerful security model lets you limit access to assets and features by user, group, or role.

  • Subscription – Users can “subscribe” to a folder and be notified immediately or daily if any assets are uploaded, downloaded, or modified in that folder. For example, a product manager might want to subscribe to her specific product folder so that she can understand exactly what’s happening with the assets that represent her product.

  • Desktop Synchronization – MajorTom offers several options for synchronizing data between the system and an individual user’s desktop.

  • No Hassle Sharing – Your organization likely has a firewall and other security measures to keep outsiders from accessing your sensitive data. These security measures make sense, but often cause problems for traditional installed Digital Asset Management solutions, which must sit “inside the firewall.” Unfortunately, this situation could makes it impossible for you to share assets with your partners, ad agencies, retailers, and distributors.
